What is email analytics software?

Email analytics software measures how a team actually uses email, including reply times, volume sent and received, busiest hours, and top senders and recipients, then reports it back to managers. This is different from email marketing analytics, which tracks open and click rates on campaigns. Team email analytics measures everyday inbox conversations with customers and prospects.

How do you track email response time in Outlook?

Outlook does not report response time natively. You can approximate it by exporting mail and comparing timestamps in a spreadsheet, but that falls apart across a team. EmailAnalytics connects to Outlook or Microsoft 365 and calculates average response time per person and per recipient automatically, then alerts you when a thread breaches your SLA threshold.

What is a good average email response time?

Across 25,384,649 emails analyzed between April and June 2026, the average response time was 4 hours 10 minutes during work hours and 12 hours 55 minutes overall. Does EmailAnalytics read the content of my team's emails?

No. By default EmailAnalytics accesses and stores only email header information, including addresses, timestamps, and subject lines, not message bodies. If you turn on the optional AI sentiment analysis, body content is briefly accessed for that analysis and then discarded. It is never stored in our database. All data is encrypted in transit and at rest.

Does EmailAnalytics work with shared mailboxes?

Yes. Outlook shared mailboxes are supported, so you can measure response times on team addresses like support@ or sales@ alongside individual inboxes. Worth noting: EmailAnalytics measures the inboxes your team already uses. It is not a shared inbox tool that replaces them with a separate collaborative ticketing layer.

How much does EmailAnalytics cost?
